Converge Note AI (“we”, “our”, or “us”) is committed to protecting your privacy. This policy explains what data we collect, why we collect it, and how it is used when you use our iOS app or visit convergenoteai.com.
1. Data We Collect
Audio recordings — submitted by you for transcription. Audio is sent to OpenAI’s Whisper API for processing and is permanently deleted from our servers immediately after transcription completes. We do not store your audio.
Transcription text and summaries — stored locally on your device only. We do not upload transcriptions to our servers unless you explicitly choose to share them. If you delete the app or clear app data, locally stored transcriptions will be removed from your device.
Email address — collected at sign-in via Firebase Authentication. Used only to identify and secure your account. We do not store your name, only your email and a unique account identifier (UID).
Usage data — basic anonymous analytics such as feature usage counts, collected via Firebase Analytics to help us improve the app. No personally identifiable information is included in analytics data.
Crash reports — anonymised diagnostic data collected via Firebase Crashlytics to help us identify and fix bugs. This data does not include your transcription content.
Website cookies — convergenoteai.com uses essential cookies only, for WordPress session management. We do not use tracking, advertising, or third-party analytics cookies on this website.
2. How We Use Your Data
We use the information we collect to:
- Provide transcription and summarisation features
- Maintain and secure your account
- Process payments and manage subscriptions via RevenueCat and Apple’s App Store
- Identify and fix bugs and performance issues
- Improve the app based on anonymised usage patterns
We do not sell, rent, or share your personal data with any third party for marketing or advertising purposes.
3. Third-Party Services
We use the following third-party services to operate the app. Each is governed by its own privacy policy:
- OpenAI — audio transcription (Whisper) and text summarisation (GPT-4o-mini). Audio is deleted after processing.
- Firebase / Google — account authentication, crash reporting, and anonymous analytics.
- Microsoft Azure — document intelligence for PDF scanning, routed through our backend. No direct client access to Azure.
- RevenueCat — subscription and in-app purchase management.
- Railway — secure backend hosting for transcription processing.
4. International Data Transfers
Some of the third-party services listed above are based in the United States and may process your data there. By using Converge Note AI, you consent to the transfer and processing of your data in the United States and any other country where those services operate. We only work with services that maintain appropriate data protection standards.
5. Data Security
All data transmitted between the app and our backend services is encrypted in transit using HTTPS/TLS. Account credentials are stored securely via Firebase Authentication and are never stored in plaintext. Transcription content lives only on your device and is never stored on our servers after processing is complete.
6. Data Retention
Audio files are deleted from our servers immediately after transcription. Transcription text and summaries are stored locally on your device and are never uploaded to our servers.
You may delete your account at any time from within the app: Settings → Delete Account. This permanently removes all server-side data associated with your email address within 30 days.
7. Children’s Privacy
Converge Note AI is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately and we will delete it.
8. Your Rights
Depending on your location, you may have the right to access, correct, or delete your personal data. EU residents have additional rights under GDPR, including the right to data portability and to withdraw consent for analytics processing at any time.
To exercise any of these rights, contact us using the details in Section 10, or use the Delete Account feature in the app.
9. Legal Basis for Processing (EU / GDPR)
For users in the European Union, we process your data on the following legal bases:
- Performance of a contract — processing audio and returning transcriptions is necessary to provide the service you have requested.
- Legitimate interests — crash reporting and anonymous analytics to maintain a safe, functional app.
- Consent — where required, we will ask for your consent before processing.
10. Changes to This Policy
We may update this policy from time to time. We will notify you of significant changes via an in-app notice or email. The date at the top of this page will always reflect when the policy was last revised.
